1. Export your attendee list
- Eventbrite: open your event, go to the attendee report under Reporting, and export it as a CSV or Excel file. It includes columns such as First Name, Last Name, Email and Ticket Type, plus any custom questions you asked at checkout (company, job title and so on).
- Cvent and other event platforms: run the attendee or registration report and export it to Excel or CSV.
- Google Forms: on the Responses tab, link the form to Google Sheets, then use File → Download → Comma-separated values (.csv).
- Excel: File → Save As → CSV UTF-8, so accented names print correctly.
Before you print, remove cancelled and refunded tickets and fix capitalization: badges print names exactly as they appear in the file.
2. Design the badge with fields that match your columns
In our online badge maker, start from the Event Badge template or a blank card. Wherever an attendee's details should go, type the column name in double curly braces:
{{First Name}}in large type, so it's readable across a room{{Last Name}}and{{Company}}smaller underneath{{Ticket Type}}to show SPEAKER, VIP or ATTENDEE
Capitalization doesn't matter, but the words must match your column headings. Extra columns in your export (email, order date) are simply ignored, so you can upload the export as it is.
3. Add a QR code for check-in (optional)
Add a QR code or barcode and set its value to a column, for example {{Order #}} or an attendee ID. Each badge then gets its own scannable code. If your check-in app expects a specific number, include that column in your export and print a test badge to confirm it scans before you order for everyone.
4. Upload the list and check every badge
Save your design, click Roster next to it on your designs list, and upload the CSV (up to 2,000 people per upload). You'll see a preview of every badge. Long names shrink to fit their text box automatically, but check the longest ones anyway.
5. Order, and plan for late registrations
Every badge in the list is priced together as one order, so a 300-person event gets the 100–499 price per badge. Standard orders print and ship within 3–5 business days; if the event is close, choose Rush and order by 11 AM ET on a weekday to ship the same day.
For walk-ins and late registrations, order a few spare badges with a blank name line, or upload a second short list closer to the date.
Tips for multi-day events
- Rigid 30mil PVC badges survive several days on a lanyard much better than paper inserts.
- Use the back for the schedule, Wi-Fi details or a venue map.
- Use a different color per ticket type: make one design per type and split your export by Ticket Type.
- Add a free punched slot for lanyard clips.
